During all sessions we encourage the delegates – presenters, discussants and the audience – to engage actively in constructive debates and civilized controversies. To achieve this, the note below is designed to provide guidance on managing and facilitating discussant (full paper based) and interactive (working paper based) sessions.
Discussant sessions
Session format: each discussant session will consist of paper presentations, discussions, and reflections; it will last about one and a half hour, following the format below:
- First paper presentation by the author: 15 min + 5 min Q&A
- Second paper presentation by the author: 15 min + 5 min Q&A
- Third paper presentation by the author: 15 min + 5 min Q&A
- Discussion of all three papers by the discussant: 15 min
- General discussion: 15 min
Time management: Session chairs are asked to be polite but be very strict in terms of time management so that each presenter has an equal amount of time. During your presentation (as presenter or discussant), the session chair will show you three cards indicating that your time allocation is coming to an end: five minutes presentation time remaining card; two minutes presentation time remaining card; RED card that means that time is over; finish your sentence and STOP your presentation: it is to be fair to other presenters or discussants in the session and to the audience who will wish to contribute in the discussion time.
Conference chair roles: please arrive at least five minute before the start of the session; introduce the presenters and allocated discussants; control the length of time that they speak for and manage any questions from the floor; be very strict in terms of time management so that each presenter has an equal amount of time; ensure that the session finishes on time.
Paper presenter roles: please arrive at least 5 minutes before the session starts; upload your presentation – preferably BEFORE the start of the session – on the desktop of the laptop available in the room; introduce yourself and acknowledge contributions of co-authors; structure your presentation so that you have time for your findings and their possible implications; exercise discipline, particularly time management.
Discussant roles: please arrive at least 5 minutes before the session starts; upload your presentation – preferably BEFORE the start of the session – on the desktop of the laptop available in the room; introduce yourself; encourage and stimulate constrictive debates and civilized controversies; even if the papers allocated to discuss might not be within your area of expertise, please do not start with this; instead, for example, acknowledge potential contributions, provide constructive feedback for improvements, and offer your own reflections.
Interactive sessions
Session format: Interactive sessions have a round-table format where the discussion of the papers is facilitated and stimulated by the conference chair (see above for conference chair roles and time management requirements). Interactive paper presentations are hard-copy format only.
- First paper presentation by the author: 15 min + 5 min Q&A
- Second paper presentation by the author: 15 min + 5 min Q&A
- Third paper presentation by the author: 15 min + 5 min Q&A
- Interactive roundtable discussion among presenters and the audience: 30 min
Paper presenter roles: please arrive at least five minutes before the start of the session; bring with you a maximum of 10 PowerPoint slides summarizing research or research in progress and expected contribution, as well as highlighting challenges and issues in moving the research forward; bring approximately 15 copies of the slides for the audience; exercise discipline, particularly time management.
Facilities and support
There will be available laptops, projectors, beamers, adapters, internet access in each room for PowerPoint presentations. Please bring your presentation on a USB memory device to be uploaded on the desktop at least five minutes before the start of the session.
